Role Summary
The internship role is intended to support the Smart Document System (SDS) project, which focuses on migrating paper-based logbooks and forms into a controlled digital platform. The intern will assist in creating, formatting, testing, and validating digital logbooks/forms in SDS to support paperless lab operations, improved documentation control, enhanced compliance, and faster record retrieval.
Key Responsibilities
- Support the conversion of existing paper-based logbooks, forms, and records into SDS digital templates.
- Create and format SDS design documents/templates based on approved source documents and user requirements.
- Assist in configuring fields, tables, workflow requirements, reviewer/approver sections, and applicable instructions within SDS templates.
- Perform basic verification of created templates to ensure alignment with approved logbook or form formats.
- Support master data qualification activities by checking template accuracy, completeness, field configuration, layout, and intended use.
- Coordinate with functional users to clarify logbook/form requirements and resolve template design observations.
- Maintain tracker updates for logbooks/forms created, reviewed, qualified, pending, and approved.
- Support documentation related to SDS validation, qualification evidence, review comments, and closure of observations.
- Follow applicable Good Documentation Practices, data integrity expectations, and site procedures while handling records.
- Escalate system issues, formatting challenges, or workflow concerns to the project lead or assigned mentor.
Required Skills and Qualifications
- Graduate or postgraduate student in Science, Engineering, Pharmacy, Biotechnology, Computer Science, or a related discipline.
- Basic understanding of documentation practices, quality systems, or laboratory/engineering records is preferred.
- Good working knowledge of Microsoft Word, Excel, and basic digital tools.
- Attention to detail with the ability to review formats, tables, data fields, and document structure accurately.
- Good written and verbal communication skills.
- Ability to work with cross-functional teams and follow defined instructions.
- Willingness to learn regulated documentation practices, electronic records, and digital workflow systems.
Learning Opportunities
- Practical exposure to Smart Document System implementation in a regulated pharmaceutical environment.
- Hands-on experience in digital logbook/form creation, documentation lifecycle management, and template qualification.
- Understanding of Good Documentation Practices, data integrity expectations, and electronic record requirements.
- Experience in working with cross-functional teams across Quality, Engineering, Validation, Laboratory, and Digital functions.
- Exposure to project tracking, issue management, and compliance-oriented digital transformation initiatives.
